Invoice history on a job or estimate

The Invoices list shows every invoice associated with a specific job or estimate. It is a read-only reference — invoice creation and management happens in QuickBooks. Any invoice linked to the job syncs automatically and appears here.

What information does the Invoice History table show?

The table has five sortable columns:

InvoiceInvoice number (e.g. INV-1042). Shown as “Draft” if no number has been assigned yet. Click the link to open the invoice directly in QuickBooks. A QuickBooks icon appears when the invoice is synced.
StatusCurrent invoice status: Draft, Open, or Paid.
CreatedDate the invoice was created.
TotalFull invoice amount.
BalanceAmount remaining unpaid.

All columns are sortable. The table defaults to newest-first by Created date. Click any column header to change the sort.

How do I open an invoice in QuickBooks?

Click the invoice number link in the Invoice column. The invoice opens directly in QuickBooks in a new tab. The QuickBooks sync icon on the row confirms the invoice has been synced.

What does “Draft” mean in the Invoice column?

“Draft” means the invoice exists but no invoice number has been assigned in QuickBooks yet. It will update to a real invoice number once the invoice is finalized.

What appears when there are no invoices?

If no invoices have been created for the job or estimate, the table displays:

“No invoices yet. Invoices will appear here when created.”

Invoices are created in QuickBooks. Once created and linked to the job, they appear here automatically.

Frequently Asked Questions

Can I create an invoice directly in VoltPro? No. Invoice creation and management happens in QuickBooks. VoltPro displays invoices as a read-only reference.

What does the Balance column show? Balance shows the amount still unpaid — the difference between Total and any payments recorded in QuickBooks.

Do invoice statuses update automatically? Yes. Invoice status, balance, and totals reflect the current state of the invoice in QuickBooks and sync automatically.

Why isn’t a QuickBooks icon showing on my invoice row? The QuickBooks icon only appears on invoices that have been synced to QuickBooks. If an invoice was created directly in VoltPro without syncing, the icon will not appear.
